Inside AV: Transforming a Corporate Boardroom into a Modern Microsoft Teams Room Environment
Project Overview
One of the most rewarding aspects of working in the Audio Visual industry is seeing how technology can transform the way people communicate and collaborate. Recently, I had the opportunity to be involved in the deployment and commissioning of a modern boardroom solution for EXL Service.com (India) Pvt. Ltd., Pune.
The objective of this project was to create a professional, reliable, and user-friendly meeting environment capable of supporting hybrid collaboration, high-quality audio conferencing, intelligent video tracking, centralized room control, and seamless content sharing.
The final solution combined Microsoft Teams Rooms, AV-over-IP technology, professional DSP-based audio processing, intelligent camera tracking, enterprise-grade networking, and centralized Crestron control into a single integrated ecosystem.
Understanding the Client Requirement
Modern organizations no longer conduct meetings only within the four walls of a conference room. Teams today collaborate across multiple locations, countries, and time zones.
The client required:
Seamless Microsoft Teams Room integration
High-quality audio pickup throughout the room
Intelligent camera tracking
Reliable content sharing
Centralized room control
Simplified user experience
Future-ready AV infrastructure
Enterprise-grade reliability
The challenge was not simply installing hardware but creating a meeting experience that felt natural and effortless for end users.
Core System Architecture
The deployed solution was designed around five major technology pillars:
Microsoft Teams Room Platform
Professional Audio Processing
Intelligent Video Collaboration
AV-over-IP Distribution
Centralized Room Control
Together these systems create a unified collaboration environment.
Microsoft Teams Room Deployment
At the heart of the room is the Crestron UC-C100-T Microsoft Teams Room solution.
This system serves as the primary collaboration platform, allowing users to:
Join Teams meetings with a single touch
Schedule meetings
Share content
Collaborate with remote participants
Manage room functions
The user experience is further enhanced through the Crestron TS-1070 touch panel.
The touch interface allows users to:
Start meetings instantly
Control room functions
Manage presentations
Access collaboration features
One of the most important goals during deployment was minimizing complexity for users. Technology should support meetings, not complicate them.
Intelligent Room Scheduling
To improve room utilization and visibility, the boardroom was equipped with a Crestron TSS-1070 Room Scheduler.
The scheduling panel provides:
Real-time room availability
Meeting schedules
Booking information
Occupancy status
This eliminates confusion and improves meeting room management across the organization.
Professional Audio Design
Audio quality is often the most critical component of any conferencing environment.
Even the best display and camera system becomes ineffective if participants cannot hear clearly.
For this reason, the room was built around the Biamp Tesira ecosystem.
Installed components include:
Biamp TesiraFORTE DAN VT4
Biamp TesiraCONNECT TC-5D
These devices perform multiple functions:
Acoustic Echo Cancellation (AEC)
Audio Routing
Signal Processing
Noise Management
Conferencing Integration
Dante Audio Networking
The DSP configuration was carefully tuned to ensure natural voice reproduction and consistent performance during meetings.
Sennheiser Ceiling Microphone Integration
To achieve complete room coverage, the project utilized the Sennheiser TeamConnect Ceiling microphone solution.
Unlike traditional tabletop microphones, ceiling microphones provide:
Clean table aesthetics
Flexible seating arrangements
Consistent voice pickup
Reduced cable clutter
The microphone system continuously captures participant voices from different locations within the room while maintaining excellent speech intelligibility.
This significantly improves the remote participant experience.
Intelligent Video Collaboration
Video quality has become increasingly important in hybrid work environments.
The room was equipped with the Lumens VC-TR60A intelligent tracking camera.
The camera offers:
Auto tracking
Presenter tracking
Intelligent framing
High-quality video output
Smooth participant engagement
Rather than relying on manual camera operation, the system automatically follows active speakers and presenters.
This creates a more engaging experience for remote attendees.
AV-over-IP Infrastructure
Traditional matrix switching systems often create limitations when future expansion is required.
To provide flexibility and scalability, the project utilized Crestron DM NVX technology.
Installed devices include:
DM-NVX-384 Encoder
DM-NVX-384 Decoder
AV-over-IP allows video and audio signals to travel through the network infrastructure.
Benefits include:
Scalable architecture
Flexible routing
High-quality video transport
Reduced infrastructure complexity
Easier future expansion
This technology forms the backbone of many modern enterprise AV deployments.
Enterprise Network Infrastructure
A reliable AV-over-IP system requires a robust network foundation.
To support the entire ecosystem, the project included a Netgear GSM4230PX managed switch.
The switch provides:
High-bandwidth connectivity
VLAN support
Multicast management
PoE capabilities
Enterprise-grade stability
Proper network configuration is often one of the most important factors in the long-term success of AV deployments.
Centralized Control System
A powerful AV system becomes valuable only when users can operate it easily.
The room utilizes the Crestron CP4N control processor.
This processor acts as the central brain of the room by managing:
Display control
Source switching
Conferencing functions
Room automation
Device communication
The objective is simple:
Users should focus on meetings rather than technology.
Installation Best Practices Followed
Every successful deployment depends on installation quality.
Special attention was given to:
Cable management
Rack organization
Labeling standards
Power management
Signal verification
Network configuration
Device documentation
A clean installation not only looks professional but also reduces future troubleshooting time.
System Commissioning and Testing
Before handover, extensive testing was conducted across all subsystems.
Testing included:
Audio validation
Microphone coverage verification
Camera functionality testing
Teams Room operation
Touch panel control
AV-over-IP routing
Network performance verification
User acceptance testing
The objective was to ensure every component performed reliably under real-world conditions.
Business Benefits Delivered
The completed solution provides several advantages to the client:
Improved Collaboration
Employees can connect with remote participants effortlessly.
Better Audio Quality
Professional DSP processing ensures crystal-clear communication.
Enhanced User Experience
One-touch meeting start simplifies room operation.
Future Scalability
The AV-over-IP infrastructure supports future expansion.
Reduced Support Requirements
Centralized management and professional commissioning minimize operational issues.
Professional Meeting Environment
The room now supports modern hybrid collaboration requirements.
Lessons Learned
Every AV project provides valuable learning opportunities.
This deployment reinforced several important principles:
User experience should always come before technology.
Proper DSP tuning dramatically impacts meeting quality.
AV-over-IP provides significant long-term flexibility.
Structured cable management simplifies maintenance.
Intelligent camera systems improve remote engagement.
Thorough commissioning is essential for project success.
Final Thoughts
This project demonstrates how multiple technologies can be integrated into a single seamless collaboration environment.
By combining Crestron control systems, Microsoft Teams Rooms, Biamp DSP processing, Sennheiser ceiling microphones, Lumens intelligent cameras, AV-over-IP distribution, and enterprise networking, the boardroom was transformed into a modern communication hub ready for today's hybrid workplace.
Projects like these are a reminder that successful AV integration is not simply about connecting equipment. It is about creating intuitive, reliable, and productive experiences that help people communicate more effectively.
Through Audio Visual Gyan, I continue to share real-world project experiences, installation insights, and lessons learned from the field to help AV professionals better understand the technologies shaping our industry.
