Project Overview

One of the most rewarding aspects of working in the Audio Visual industry is seeing how technology can transform the way people communicate and collaborate. Recently, I had the opportunity to be involved in the deployment and commissioning of a modern boardroom solution for EXL Service.com (India) Pvt. Ltd., Pune.

The objective of this project was to create a professional, reliable, and user-friendly meeting environment capable of supporting hybrid collaboration, high-quality audio conferencing, intelligent video tracking, centralized room control, and seamless content sharing.

The final solution combined Microsoft Teams Rooms, AV-over-IP technology, professional DSP-based audio processing, intelligent camera tracking, enterprise-grade networking, and centralized Crestron control into a single integrated ecosystem.

Understanding the Client Requirement

Modern organizations no longer conduct meetings only within the four walls of a conference room. Teams today collaborate across multiple locations, countries, and time zones.

The client required:

The user experience is further enhanced through the Crestron TS-1070 touch panel.

The touch interface allows users to:

One of the most important goals during deployment was minimizing complexity for users. Technology should support meetings, not complicate them.

Intelligent Room Scheduling

To improve room utilization and visibility, the boardroom was equipped with a Crestron TSS-1070 Room Scheduler.

The scheduling panel provides:

  • Real-time room availability

  • Meeting schedules

  • Booking information

  • Occupancy status

This eliminates confusion and improves meeting room management across the organization.

Professional Audio Design

Audio quality is often the most critical component of any conferencing environment.

Even the best display and camera system becomes ineffective if participants cannot hear clearly.

For this reason, the room was built around the Biamp Tesira ecosystem.

Installed components include:

  • Biamp TesiraFORTE DAN VT4

  • Biamp TesiraCONNECT TC-5D

These devices perform multiple functions:

  • Acoustic Echo Cancellation (AEC)

  • Audio Routing

  • Signal Processing

  • Noise Management

  • Conferencing Integration

The DSP configuration was carefully tuned to ensure natural voice reproduction and consistent performance during meetings.

Sennheiser Ceiling Microphone Integration

To achieve complete room coverage, the project utilized the Sennheiser TeamConnect Ceiling microphone solution.

Unlike traditional tabletop microphones, ceiling microphones provide:

  • Clean table aesthetics

  • Flexible seating arrangements

  • Consistent voice pickup

  • Reduced cable clutter

The microphone system continuously captures participant voices from different locations within the room while maintaining excellent speech intelligibility.

This significantly improves the remote participant experience.

Intelligent Video Collaboration

The room was equipped with the Lumens VC-TR60A intelligent tracking camera.

The camera offers:

  • Auto tracking

  • Presenter tracking

  • Intelligent framing

Rather than relying on manual camera operation, the system automatically follows active speakers and presenters.

This creates a more engaging experience for remote attendees.

AV-over-IP Infrastructure
